A Buildings Office Liaison is a point of contact for the Buildings Office within an Office/Discipline/Unit/Faculty (see here for list).
a. Logging/following-up on maintenance (and other) requests on behalf of their discipline/office/unit.
The primary responsibility of a Buildings Office Liaison is requesting maintenance services from the Buildings Office on behalf of their Office/Discipline/Unit/ Faculty. Other discipline staff may need to liaise with Buildings Office staff on the detail of the request, however the logging of the original request and the checking of status of requests should be done by the Buildings Office Liaison.
From experience of working with Buildings Office Liaisons over a number of years it has been obvious that it is to the benefit of all involved to have most types of requests coordinated through the Buildings Office Liaison. Having one individual who coordinates requests and communications means that the process of requesting and receiving service from the Buildings Office is far smoother and more efficient than if multiple people are involved.
The following types of requests should be made by the Buildings Office Liaison:

b. Buildings Office point of contact within discipline/office(particularly in the case of emergencies)
On occasions there will be changes to Buildings Office policies and procedures which will require the assistance of the Buildings Office Liaisons in communicating to all staff. Also, in the event of an emergency on the campus, e.g. a power outage, the Buildings Office will communicate directly with the Buildings Office Liaisons re. the issue and they are then required to communicate information back to their colleagues.
c. Ensuring that Buildings Office Liaison contact details are kept up-to-date
From past experiences it is clear that it is vital to have correct contact details for Buildings Office Liaisons so that they can receive critical communications. The Buildings Office Liaison is responsible for ensuring that the contact details of both the Buildings Office Liaison and their deputy (where appropriate) are maintained accurately (see list here).

d. Notifying the Buildings Office of changes to room/building data
The system that the Buildings Office uses to manage work requests also maintains all of the University’s building and room data. We use this building and room data to provide space usage reports and other reports to University management, so it is very important that the data is accurate.
There are occasions when an individual will move into an office, or people will swap offices and the Buildings Office will not necessarily be notified. In these situations it is important that the Buildings Office Liaison notifies the Buildings Office of the changes.
If you notice any inaccuracies in the building or room data that you see when you log a request, or if you know that a move has happened within your department or office and the Buildings Office were not involved, please notify us by using the online form
