How do I filter eMail based on recipient address?
Example: For a particular email address, move messages to a new folder instead of your Inbox
The following steps create a rule that will move all messages delivered to a particular email address to a selected mail folder. This applies to Outlook users who have a second email address (a.k.a. alias email address). You will no longer see mail for that email address in your Inbox - it will be delivered directly to the selected mail folder.
Outlook 2007
- From the
Tools menu, choose
Rules and Alerts
- Click the
New Rule button
- Select
Start from a blank rule and click
Next
- Tick the box
With specific words in the message header
- In Step 2 (in the same window), click
specific words
- For
Specify a word or phrase to search for in the message header, enter the email address for which you wish to create a filter.
- Click the
Add button and then click
OK
- Click
Next
- Tick
Move it to the specified folder
- In Step 2 (in the same window), click
specified
- Select the folder for moving messages (you can create a new folder, if required).
- Click
OK
- Click
Next
- Click
Finish
- Click
Apply and then click
OK
Outlook 2010
- Go to the
Home tab
- Select the email message you want to move to a specified folder
- Click the
Rules dropdown
- Select
Always Move Messages From:
- Select your destination folder and click
OK
