How do I re-direct messages for a particular e-mail address to my colleague?
Example: While you are out of the office on annual leave, re-direct messages for a particular email address to a colleague’s mailbox.
The following steps create a rule that will re-direct all messages delivered to a particular email address to another person’s mailbox. You will no longer see mail for that email address in your Inbox - it will be delivered directly to the other person’s mailbox. When you want to stop the messages going to the other person’s mailbox, disable or delete this rule.
Outlook 2007
- In Outlook, from the
Tools menu, choose
Rules and Alerts
- Click the
New Rule
button
- Select
Start from a blank rule and click
Next
- Tick the box
With specific words in the message header
- In Step 2 (in the same window), click
specific words
- For
Specify a word or phrase to search for in the message header, enter the email address for which you wish to send messages to a colleague’s mailbox.
- Click the
Add button and then click
OK
- Click
Next
- Tick
Forward it to people or distribution list
OR
Tick
Re-direct it to people or distribution list
Note: When a mail is redirected, it appears to the recipient as if it is from the original sender while the forwarded mail has you listed as the sender. You will still receive a copy of the message in your mailbox if you forward or re-direct the message.
- In Step 2 (in the same window), click
people or distribution list
- Select the email address to which you wish to re-direct messages
Note: Outlook's message rules do not process messages sent to HTTP-based mail accounts, such as Microsoft Hotmail.
- Click
OK
- Click
Next
- In Step 1 – take a note of the name assigned to the Rule (or choose a different rule name, if you wish)
- Click
Finish
- Click
Apply and then click
OK
Remember: If you want to stop the messages going to the other person’s mailbox,
disable or
delete this rule (instructions available online).
Outlook 2010
- Click
File Tab and select the
Info Manage Rules & Alerts. The Rules and Alerts window will open
- In the Rules and Alerts dialog box, click on the
New Rule... icon to display the first step in the rule creation wizard.

- In the
Start from a blank rule section, select
Apply rule on messages I receive and click
Next

- Click on the
Yes button to confirm that you want the rule to be applied to all incoming email

- In the list of actions, tick
redirect it to people or distribution list, click
Next
- In the rule description area, click on the
blue underlined phrase people or distribution list to set the address to send messages to
- An internal address can be selected by choosing it from the list in the left pane and clicking on the To button. An external address can be typed directly into the right pane
- After specifying the address to forward to, click
Next
- The redirect action only forwards a copy of the incoming mail to the specified destination. The original message will remain in your Inbox.
- Specify a name for your rule and then click on the
Finish. The rule will be listed in the Rules and Alerts window
- Click on the
OK
