Eligibility, deadlines and documentation
If you will be doing a placement/internship of at least 3 months’ duration that is an integral and compulsory part of your programme of study here at NUI Galway, and if you are going to be based with a company or organisation in an EU Member State (or in Croatia, Switzerland, Norway, Iceland, Liechtenstein or Turkey), then you may be eligible for an Erasmus grant. The placement must be based entirely around work experience, and if it takes place in a university, then you must be working there (e.g. in an office or laboratory) and not attending classes.
To ensure that you can be considered for a grant, you must apply in time to the International Affairs Office, using this
application form. Deadlines are as follows:
For placements commencing in the period 1st September – 31st December: 15th July
For placements commencing between 1st January and 31st March: 15th November
For placements commencing after 1st April: 15th February
If approved, you will receive documentation in the post from the International Office, including 2 copies of the
Model Placement Agreement. This shows the conditions of your Erasmus Placement and the details of your grant. You will need to sign both copies, and return one to the International Affairs Office while keeping the other for your own records. You will also be required to complete a
Training Agreement and Quality Commitment
showing the details of the placement, including the programme of activities and the expected outcomes. This will have to be signed by your departmental coordinator at NUI Galway, by your coordinator/mentor at the host organisation abroad, and by you. It is important to note that the details of your placement (choice of host organisation, content, recognition, etc) are a matter for you and your NUI Galway academic coordinator or programme director, and that the International Office has no role in organising your placement. The onus is on you and/or your sending discipline at NUI Galway to find a suitable host organisation and draw up a Training Agreement. All three parties to the Training Agreement should hold a copy of that document.

You must acknowledge receipt of your Erasmus grant by means of this
form, which you should return by post to the International Affairs Office. Please ensure that you enter the correct grant amount on the form, and check your bank account if you are unsure.
At the end of your work placement, you must complete the
Student Final Report and return it to the e-mail address you'll find on page 1 of the document. You must also have a
Certificate of Attendance completed and signed by your employer or your mentor at the host organisation, and return this to the International Affairs Office at NUI Galway. The balance of your grant will only be paid when these 2 documents have been received and approved by NUI Galway.
