Note: Following submission of thesis softbound to the Student Information Desk (SID), it will be received by examiners within 10 working days. It is recommended that examiners have 6 weeks to review the thesis prior to the viva.

Students wishing to confer must have submitted their corrected hardbound thesis, e-thesis and Library Form (EOG 051) by the submission deadline outlined on the  Conferring website.

Note: PhDs are not conferred at the October ceremony.

Expense claims for external examiners cannot be processed until the Examiners Report has been submitted to the Quality Office via email qualityoffice@nuigalway.ie

Tax Resident in Ireland

Examiners who are tax resident in Republic of Ireland are advised to review the following steps carefully to ensure prompt payment of expense claims.

  1. Obtain an NUIG payroll ID Number (see below)
  2. Complete Tax Residents Claim Form. All expenses must be vouched i.e. receipts must be included with the claim. 

How to Obtain an NUIG payroll ID Number

Important: You only need to request a NUIG payroll ID number once. The ID number assigned to you should be used thereafter in all communications with NUIG payroll.

Complete the Casual Employee Personal Details form and email to payroll@nuigalway.ie. Tips for completing the form:
Cost Centre Code (row 34) =" D0242 Start Date - it is recommended that you enter the date you first visited NUI Galway as an external examiner. 

Not Tax Resident in Ireland

Examiners who are not tax resident in Republic of Ireland are advised to review the following steps carefully to ensure prompt payment of expense claims.

  1. Complete Non-ROI External Examiner Claim Form (EOG 03 06) All expenses must be vouched i.e. receipts must be included with the claim.

Invigilator Information

 Important Information for Postgraduate Students

All postgraduate students (who are not sitting examinations in the current academic year) are eligible to apply for invigilation work. Registered undergraduate students are not eligible for invigilation work. All postgraduate students receiving invigilation hours must keep track of all hours worked during the academic year so as not to exceed the limit of 130 hours, if applicable. Please refer to section 5.11: Employment During Studies within the University of the University Degree Guidelines for full details or contact the relevant Vice Deans of Graduate Studies who have been appointed in each of the five Colleges.
