How to Export/Import Staff Email messages using Entourage 2008
Staff email messages are automatically stored centrally on the NUI Galway mail servers. You can also save a copy of messages to your local hard drive or another storage area e.g. USB key or CD. For example, if you are leaving the University, you can export your messages so that you can access them in the future. Macintosh users can follow the steps outlined below to export messages.
- Open Entourage 2008 and login to your staff email account
Note: If you are off-campus, ensure that you have an
off-campus Entourage profile set up
- If you wish to export a single mail folder, drag that folder to the file location (e.g. desktop) where you wish to store it. The exported folder is stored as a *.MBOX file.
- To export the entire contents of the mailbox
From the
File menu, select
Export
- Select
Items to an Entourage archive (default option), then
All items (default). Archive the following items: All ticked by default. Click the right arrow
- In this step, you can choose to either keep or delete items after export.
No, Keep the items in Entourage after they are archived is selected by default. Click the right arrow.
- A prompt will appear “Address book groups cannot be exported”
Click
Continue
- Select your file location and click
Save
The exported folder is stored as a *.RGE file.
Note: You cannot attach an exported mail file to an email message in Entourage. It is recommended that you transfer the file by saving it to e.g. a USB key
To import your messages on a different Macintosh computer
- Open Entourage 2008
- From the
File menu, select
Import
- To import the contents of a *.RGE file which contains the contents of an entire mailbox

Import Entourage information from an archive or earlier version is selected by default
Click right arrow
- Select the *.RGE file to be imported

- When import is complete, click
Done
- To import the contents of a *.MBOX file which contains the contents of a single mail folder
- In the Import wizard, select
Import Contacts of messages from a text file
Click right arrow
- Select
Import messages from an MBOX-format text file
Click right arrow
- Select the *.MBOX file to be imported
Click
Import
- When the import is complete, click
Finish
