How to Export/Import Staff Email messages using Outlook 2011
Staff email messages are automatically stored centrally on the NUI Galway mail servers. You can also save a copy of messages to your local hard drive or another storage area e.g. USB key or CD. For example, if you are leaving the University, you can export your messages so that you can access them in the future. Macintosh users can follow the steps outlined below to export messages.
- Open Outlook 2011 and login to your staff email account
Note: If you are off-campus, ensure that you have an
off-campus Outlook profile set up
- If you wish to export a single mail folder, drag that folder to the file location (e.g. desktop) where you wish to store it. The exported folder is stored as a *.MBOX file.
- To export the entire contents of the mailbox
From the
File menu, select
Export
- Select
Items to a Mac Data File (default option), then
Items of the followingtype (default). Archive the following items: All ticked by default. Click the right arrow
- In this step, you can choose to either keep or delete items after export.

is selected by default. Click the right arrow.
- Select your file location and click
Save
The exported folder is stored as a *.OLM file.
To import your messages on a different Macintosh computer
- Open Outlook 2011
- From the
File menu, select
Import
- To import the contents of a *.OLM file which contains the contents of an entire mailbox

Import Outlook Data File is selected by default
Click right arrow

Select
Outlook for Mac Date File, click right arrow.
Select the file you want to import, click
Import.
When import is complete, click
Done

To import the contents of a *.MBOX file which contains the contents of a single mail folder
- In the Import wizard, select
Import Contacts or messages from a text file
Click right arrow
- Select
Import messages from an MBOX-format text file
Click right arrow
- Select the *.MBOX file to be imported
Click
Import
- When the import is complete, click
Finish
