The majority of our Students come through the CAO system – but those that do not have to be entered in the system via the Direct Admissions route. From the Quercus main menu, choose Admissions/Direct Admissions/Direct Admissions Maintenance.
Choose to Add New Applicant and when it asks you if the applicant has made a previous enquiry, choose No. This is because if the applicant had made an enquiry, that all the details could be rolled forward into the student record automatically – without having to re-key all the details again.
You then proceed to enter as much information as you require about the student personal details. After these are entered choose save to ensure that all you have entered will be saved by choosing
You can now choose the course from the list
available by using the up-arrow button on the course field.
Once you choose the course, you can then use the Save button to save the course that you have enrolled them on. It then gives you a checklist screen to ensure that you have received all the necessary documents required to register this student on this course. If this is not the case then you need to send them a letter to state what is missing – not in order.
Once all the checklist boxes have been ticked, click on previous to get back to the original screen. Note that the Save button now changes to Offer. You must now choose the Offer button to offer them a place and you can now send them an offer letter by choosing the Offer Letter button.
We currently have some Offer Letters available to print, once the applicant has been offered a place. By choosing the Offer Letter button, you are then presented with a screen – in which you can type in certain parameters to be used in the offer letter. For this letter you can type in the Sender and Department(parameters). There is also a reprint option – so if necessary you can reprint a letter. These are date based.
You then get a standard letter printed that can be sent to the student with the Sender and Department pre-printed on it. This is the output from the letter.
When the Offer letter has been accepted – you can then use the Accept button to accept the offer. It will ask for a fee category – so after accepting you can save and exit this screen.
