Running a Report
Using Drag & Drop to from and To Page Items in Discoverer

To start Discoverer double-click on the Discover shortcut on your desktop.
You then click on
Start on the following screen.
You are then asked for a Username Password and Database. This is allocated by the Project Development Team for Quercus(Student Record System).
At this point you click on Connect. You then click on Open an Existing Workbook and then Database. This will then give you a list of the reports that you can run. Note that there are over 100 reports created at present, but you may not have access to all of
them. If you need a report please request it by emailing

To run a report choose from the list you see on screen.
You will note that in some cases the report is called QUERCUS.Records – or QUERCUS.Exams or QUERCUS.Fees. This tells you the are in which the report is based. Highlight the report you want to run and then click on Open.
It asks you how you want to Open the Workbook and you choose to
Open the Workbook in the Current Database Account. The other options are not relevant at this point.
Click on
OK and then it asks you if you want to refresh the sheet. Always click on
Yes as this gives you the most up to date information from the database.
The report that we want to run is a Module Class List, which allows you to get a class list for any module. It will ask you for two parameters i.e. Academic Session and the Module Code. Please note that the Module Code must be in UPPERCASE.
The single quote around the Code is automatic so you don’t have to key it in. Just type in the module code and the session, which defaults to the current session i.e. 2001. Click on
Finish at this point and wait until the report is finished.
N.B. Some reports take quite some time and others are quick so please be patient. You will see the following indicator that gives you an idea of time to complete it.
Other reports will need different data input from the user e.g. dates. This is why there is a parameter screen that allows you to run a list for any module or any year.
Your Page Items area in Discoverer allows you to move columns to or from it.
For Example if you want to use the instance code as a selection from the report on fast module class list, then the easiest way is to drag the instance code field from the report onto the Page Items line. This will then allow you to choose a specific instance
code and its related details. To do this: Highlight the Column Instance Code then click on the left mouse button, drag the
column to the top until you see a thick black up-arrow
and release it.
If you want to drag from the Page Items area to the report area, then all you do is to highlight the column you want to move until you see a thick black up-arrow
. Then drop the column onto the report area e.g. drag the Module Code onto the report.
You now see that the Module Code is beside the Course Description and not in the page Items area of the report. Any column can be dragged down onto the report or up into the Page Items area making it easier to read the report.
Once the report is complete you can then:
1. To print the report simply go to File and Print or choose from the standard
toolbar. Choose the printer you want to use and click on OK.
2. To copy to Excel simply click on
on the toolbar. This copies the contents of the report to Excel. You can then alter the report in Excel to make it look more presentable. Save the file as a spreadsheet e.g. module_class_list.xls At this point, close Excel and exit out of it. You can then email this Excel file.
3. To email the Excel attachment simply go to Outlook and click on New/Mail. Then choose the email address from the address book. Click on Insert/File and choose the file module_class_list.xls. Then click on send and the file is now sent as an attachment. This is useful if you are sending to departments outside our domain.
